Do you love creating memorable experiences? Are you a master of logistics who thrives in a beautiful, fast-paced environment? Filoli is looking for an Event Production Specialist to help us bring our world-class public programs—from starlit Summer Nights to elegant afternoon teas—to life.

The Role: Where Creativity Meets Coordination

As an Event Production Specialist, you are the heartbeat of our events. This is a multidisciplinary role where no two days are the same. You’ll spend your time balancing administrative tasks with hands-on event execution, ensuring every guest leaves Filoli feeling inspired.  

What You’ll Do:

• Create Experiences: Assist in planning and executing musical performances, floral workshops, and signature events like Summer Nights and Nightfall.

• Event "Magic": Take the lead on setup and breakdown—transforming our historic spaces with tables, chairs, and decor (following our SOPs and Monday.com tools).

• Guest Engagement: Be the friendly face of Filoli, welcoming visitors and ensuring they have a high-quality, inclusive experience.

• Behind the Scenes: Manage the "nitty-gritty"—ordering supplies, scheduling vendors, maintaining costumes, and tracking data in our Altru database.

• Document the Beauty: Help us build for the future by photographing our stunning event setups and decor.

Who You Are

We are looking for a proactive, solution-oriented "doer" who values community and inclusion.

• Experienced: You have at least 2 years of experience in an office or event setting.

• Tech-Savvy: You’re comfortable with Google Workspace and databases (Altru experience is a huge plus!).

• Physical & Energetic: You enjoy being on your feet, can walk across uneven garden terrain, and are comfortable lifting up to 30 lbs to set the stage for our events.

• Flexible: You thrive in a dynamic schedule and are available for evening and weekend magic.

• Hourly Rate Range: Depending on experience, $34.76 to $37.00.

• Pay Status: Non-exempt.
