Are you a highly organized, discreet, and proactive professional ready to support an executive team that is shaping the future of a world-class historic estate? Filoli is seeking an Executive & Board Liaison to be the operational partner to our Chief of Staff, ensuring seamless alignment between the CEO, Executive Team, and Board of Directors.

This is a full-time, flexibly scheduled position, working in an office located in a beautiful historic house. Depending on candidate experience, the annual salary range is $86,000 to $100,000.  A typical work schedule is 8 hours per day, Monday through Friday. Flexibility including occasional off-hours or overtime commitment may be required to meet business needs. This position is eligible for employee benefits: medical, dental, vision, life, LTD, Flex Plan, 401(k) (eligible 1st of the month following the date of hire), vacation, sick leave, and holiday pay.

Your Strategic Role

Reporting to the Chief of Staff, the Executive & Board Liaison is a critical, high-impact role that blends complex executive support, meticulous board governance, and organizational project management. You will be the central hub for executive communications, scheduling, and strategic documentation.

What You'll Be Doing

Executive Support (40%)

  • Gatekeeper & Scheduler: Manage the CEO’s time and resources and oversee the Executive Team calendar, resolving conflicts and handling highly sensitive information.

  • Preparedness: Prepare the CEO and Executive Team for all engagements by conducting research, compiling analysis, and owning the development of accurate presentation materials (slide decks, reports) for high-level audiences.

  • Logistics: Manage executive travel, expense reports, and provide all necessary high-level administrative support for the Office of the President & CEO.

Board of Directors Support (40%)

  • Governance Hub: Serve as a central coordinator for all Board inquiries and logistics in partnership with the Chief of Staff.

  • Documentation: Draft official Board and Committee minutes that accurately summarize organizational decisions.

  • Systems Management: Implement and manage Board information within our CRM (Altru, Monday.com, etc.), ensuring meticulous tracking of governance records, term limits, and compliance.

  • Concierge Service: Partner with the Development team to provide white-glove service to Board members, including admissions and reservations.

Institutional Administration (20%)

  • Research & Analysis: Conduct comprehensive research projects on governance, best practices, or industry trends and synthesize the findings for Executive Team review and implementation.

  • Compliance: Manage institutional calendaring, trademark documentation, renewals, and external memberships (APGA, AMA).

 


What You Bring to the Team

  • Experience: Minimum of 5 years providing high-level administrative support to C-suite executives and proven experience supporting Board of Directors activities, including complex minute-taking and logistics.

  • Organizational Mastery: Exceptional organizational skills, high attention to detail, and a proactive approach to anticipating needs and resolving issues independently.

  • Communication Excellence: Superb written and verbal communication skills, with a demonstrated ability to draft professional correspondence and present complex information clearly.

  • Tech Proficiency: Advanced proficiency in Google Workspace (Docs, Sheets, Slides) and Microsoft Office Suite (Word, Excel, PowerPoint). Experience with CRM systems (like Altru) is a plus.

  • Judgment: An uncompromising ability to exercise good judgment and maintain utmost discretion and confidentiality when handling sensitive C-Level matters.

A Bachelor's degree in a related field is preferred, or equivalent professional experience. A valid Driver’s License is required.
